Virology Education is looking for a Project Coordinator to join our team. You and your team members will manage our portfolio of international medical education programs in various formats including face-to-face, hybrid, virtual, and online education initiatives. You will work on a variety of projects by coordinating internally with the scientific and communication departments and externally with our participants and stakeholders.
Your Main Tasks and Responsibilities Will Be:
- Participant management including handling registrations, invoicing, and general correspondence
- Faculty management including contract management, logistical arrangements, and professional correspondence.
- Travel and accommodation arrangements for faculty, staff, and scholarship recipients
- Website and program management using various programs such as WordPress/Drupal, EventsAIR, and HubSpot.
- Support with data analysis for interim and final project reporting
- Design and development of conference and promotional materials including (digital) flyers, social media, and invitations using Adobe programs.
- Support with fundraising activities
- Administrative tasks for day-to-day project management
- Onsite project management and preparation including venue negotiations, F&B management, and AV arrangements
- Online project management including customer support for livestreams, troubleshooting, and building and managing interactive sites
Knowledge, Skills, and Experience:
- Master’s degree or equivalent work experience
- Academic thinking and working level
- Excellent organizational skills
- Experience in conference management is preferred, in medical education is a plus
- Business acumen and commercially aware
- Near-native or native command of English (both verbal and in writing)
- Excellent command of French or Portuguese (both verbal and in writing) is a plus
- Excellent communicator and strong in stakeholder management
- Flexible; being able to switch between helicopter view and critical details
- Quantitative skills, capable of working with financial data
- Solid IT skills including Microsoft Office, WordPress or other CMS, and Adobe InDesign are a huge plus
- Willingness to perform various common tasks and learn new skills
- Professional appearance and outstanding work ethic
- Readiness to work as a team and liaise with colleagues
