About this Program

The 15th International Workshop on HIV & Aging will take place in a hybrid format on 24-25 October 2024, in Washington DC, United States.

The integration of antiretroviral therapy (ART) into HIV care has dramatically extended the life expectancy of those living with HIV. This increased life expectancy is changing the demographics of the HIV epidemic. Currently, over half of individuals living with HIV are aged 50 or older. Recent estimates in Europe suggest that more than 70% of those with HIV will be over the age of 50 by 2030, accompanied by a greater burden of comorbidities and the associated treatments. In comparison to similar populations, persons with HIV, even when on effective ART, experience an excess of morbidity and mortality. Complications due to AIDS are rarely fatal for persons on ART. Instead, patients experience an early onset of aging complications, including neurocognitive decline, osteoporosis and fractures, impaired physical function, frailty, and falls.

Improving the management of older adults with HIV will require a much deeper understanding of the interface between aging, HIV, associated comorbid conditions, and concurrent treatment. Additionally, research is needed to address the unique psychosocial challenges faced by this growing population. The elderly population living with HIV is particularly vulnerable to social stigma, which can lead to depression, psychological distress, compromised adherence to therapy, and overall poor treatment outcomes and quality of life.

The International Workshop on HIV and Aging remains the only platform worldwide for international, cross-disciplinary scientific exchange on the increasingly recognized difficulties encountered in the clinical care and design of studies to improve the care of persons aging with HIV. The meeting gathers (basic) researchers, healthcare professionals across different disciplines, and community advocates to foster dialogue and prompt solutions that will benefit the aging population living with HIV. In addition, the workshop will also create opportunities for trainees and junior investigators to present their research, network, and learn from experts in the field.

Who Should Attend?
Internal Medicine specialists (clinicians working in cardiovascular, renal, endocrine, and metabolic complications of HIV areas), infectious disease specialists, (virologists, immunologists, pharmacologists), geriatricians, neurologists, epidemiologists, geneticists and other clinical researchers; community advocates, industry representatives.

This meeting aims to:

- Facilitate an unbiased and scientific knowledge exchange regarding HIV and ageing and encouraging early career investigators to actively take part in the workshop.

- Inform on the current advances in basic and clinical research in HIV and ageing and promote its successful translation to clinical care options.

- Create awareness on challenges regarding the management of older people living with HIV and catalyze research to combat these challenges.

Early-Career Investigators / Academia from Resource-limited Settings (RLS)
We are pleased to waive the registration fee for early-career investigators and academia from low-income and lower-middle-income countries with an accepted abstract and a 50% discount on the registration fee without an accepted abstract.

IMPORTANT: The fee waiver is offered to the presenting author only.

To be eligible as an early-career investigator, one should either be a current Master/PhD student or have obtained an MD/PharmD/PhD degree in the last five years. An application form needs to be completed by a supervisor and received by the Virology Education secretariat at least two weeks prior to the start of the workshop. Virology Education will contact the early-career investigator with instructions regarding the registration procedure.

Cancellation Policy
In case of cancellation, the following refunds are applicable:

- Cancellation before/on 24 September 2024: 50% refund (minus an administration fee of €40)

- Cancellation after 24 September 2024: Unfortunately, no refund will be given

If you are unable to attend the conference, a substitute delegate is always welcome at no extra charge, provided that a letter of authorization from the original participant has been received and the conference secretariat has been notified of the name of the substitute delegate before 10 October 2024. A statement (email/letter) of cancellation must be sent to Virology Education.

Media Registration
In order to register as a media participant for the workshop, the workshop secretariat needs to receive:

1. Proof of accreditation
2. Valid identification (e.g. passport)
3. A letter from your assignment giver stating the details of your assignment (e.g. editor)
4. At least 3 previous written assignments in recognized outlets on HIV. If you are a freelance journalist, the assignments can be from different (recognizable) news outlets. Links to online publications are accepted
5. The website of the publication(s)/blog(s) that will be featuring your story on this workshop

A complimentary or reduced registration fee may apply for accredited media participants depending on availability. Preference will be given to credible print and online news sources. Please contact the workshop secretariat for registration conditions.

We would like to receive a copy of your workshop report/ article once it is finalized.
All credentials will be verified by the Organizing Committee of the workshop. Media representatives are kindly requested to register by sending the above-mentioned information to info@amededu.com.

Important: Media is restricted to the written press. Recording on film or photo is not allowed. Virology Education will request a copy of the written piece once it is finalized. Media representatives must also agree to abide by the 2024 embargo policy.

Abstracts

The International Workshop on HIV & Aging 2024 accepts encored abstracts as long as the research is focused on the field and has new data at the time of the workshop.

Authors could submit their abstracts electronically until 2 August 2024 at 23:59 EDT. Please follow the step-by-step directions to upload the abstract. To ensure your abstract retains any special characters or formatting, the abstract must be in Microsoft Word format. 

Abstract submitters are strongly encouraged to use person-first language in their abstracts. View the video tutorial and guidelines here

Abstract presenters are expected to attend the workshop in-person to present their abstract. Please contact the workshop secretariat if this is not possible.

General Guidelines

Abstracts should contain the following four components:

  • Background: A concise statement of the issue under investigation or a hypothesis;
  • Material and Methods: The experimental methods used (including the statistical analyses employed);
  • Results: Specific findings (promises such as "to be completed" or "to be presented" are not acceptable);
  • Conclusions: A summary of findings that are supported by your results (statistical analyses used to support the conclusions, where appropriate, should be included; concluding statements such as "the results will be discussed" are not acceptable).

Please note that abstracts cannot be accepted if tables or graphs are included. The maximum word count for the abstract body is 500 words.

Abstracts are considered official communications to the workshop and will be treated confidentially. Submitters of accepted abstracts agree to attend the workshop and present their abstract as scheduled.

By submitting an abstract to a meeting organized by Virology Education BV (VE) or Academic Medical Education BV (AME), the abstract submitter hereby agrees to the terms and conditions.

Early-Career Investigators, Postdoc, MD
We are pleased to waive the registration fee for Early-Career Investigators and/or Academia from Resource-Limited Settings (RLS) with an accepted abstract and also provide a 50% discount on the registration fee for Early-Career Investigators and/or Academia from Resource-Limited Settings (RLS) without an accepted abstract.

IMPORTANT: the registration fee waiver is offered to the presenting author of the abstract only.

Applicants should:

- Be a current Master/ PharmD/ PhD student; OR
- Have obtained an MD/ PharmD/ PhD degree in the last five years.

An application form (available below) needs to be completed by a supervisor and received by the Virology Education at least 2 weeks before the start of the workshop.

Virology Education will contact the early-career investigator with instructions regarding registration for the workshop once the application has been received.
Notification of Abstract Acceptance and Presentation Format
It is the responsibility of the corresponding/ presenting author to inform all co-authors of the abstract’s status. We aim to send out notifications at least 1 month prior to the start date of the event. Please notify the Workshop Secretariat if you have not received a notification by end of September. If your abstract is accepted, one author is required to register for the workshop and present the paper as scheduled. Guidelines for preparing your oral and/or poster presentations will be sent after your abstract has been accepted.
Poster Presentation Instructions
Note: For hybrid events, poster presenters are expected to attend onsite.
Posters need to meet the following dimensions A0 size (approx. 33" x 47") in portrait format.
Please display the number of your poster in the upper right corner of your poster.
In addition, you are required to make a short recording (max. 2 min) of your presentation with a few slides using PowerPoint. You can record this video directly from PowerPoint.
Your poster and the short video will be available on our website after the workshop days.

Once onsite:
Poster presenters are requested to stand near their posters during the poster session.
We advise you to prepare hand-outs of your poster on Letter or A4 format.
Please hang your posters as early as possible. All posters must be displayed from the opening session to the closure of the meeting.
Pushpins and/or velcro will be provided.
Abstract Publication
Accepted abstracts will be published in the HIV & Aging 2024 Abstract Book. This will be distributed during the workshop and will be available as an enduring material after the workshop has concluded. Please note that the workshop secretariat cannot be held responsible for any typing or language errors in the submitted abstracts as only the format of the abstracts will be changed and not the content.
VE and AME is the sole copyright holder of the workshop abstract book as a whole (also referred to as the Reviews in Antiviral Therapy & Infectious Diseases). The abstract authors will retain any and all copyright over their individual abstract. Information on copyright can be viewed in the abstract submission terms and conditions (see 'Terms and Conditions' above).

What is Expected from the Scholarship Recipents?

All scholarship awardees are required to attend the full meetings. Awardees must sign in at the beginning of each meeting day and sign off at the end of each day as requested by the Conference Organizer. At the close of the Conference, awardees must have completed the daily and overall conference evaluations.

Recipient will provide post-meeting feedback and a summary about his/her conference experience within one month after the end of the conference. The feedback questionnaire will be an online survey with the recipient providing feedback on their experience at the conference, scholarship procedure, and how they will implement the knowledge acquired at the meeting in their daily practice. The questionnaire will be sent to each recipient by email within one week after the conclusion of the conference.

Eligibility

Applicants must:

  • Be proficient in English to interact with faculty and fellow attendees
  • Be actively involved in the field of HIV & Aging
  • Be able to show benefits to their patients / research / community from attending the meeting
  • Be willing and able to share information learnt at the meetings with a larger community
  • Be eligible to obtain a visa for travel. Declare that she/he is able and willing to fund all other costs beyond the scholarship that are involved in attending the Conference, e.g. all other hotel, travel and subsistence expenses NOT covered by the scholarship.
  • Declare to take out her/his own insurance policies (for travel, liability, illness and/or other necessary insurances in relation to her/his participation to the conference).
  • Conference organizer will automatically decline all scholarship applications that do not conform to the eligibility terms
